This Privacy Policy describes how we collect, use, protect, and handle your information when you visit hearforyouhearingaids.com, submit a form on our website, communicate with us by phone, text message (SMS/MMS), or email, or receive services at our practice located at 21 Plank Avenue, Suite 120, Paoli, PA 19301.

Your mobile phone number and messaging consent are used only to send you the types of text messages you opted in to receive, to honor your opt-out requests, and to maintain a record of your consent as required by law.

3. How We Share Your Information

We do not sell your personal information. We do not disclose your personal information to outside parties for their marketing or promotional purposes.

Personal information may be provided to subcontractors and service providers who perform support services on our behalf, such as customer service, appointment scheduling and patient communication software, website hosting, and payment processing. These providers are obligated to keep your information confidential and to use it only to perform those services for us. We may also disclose information when required by law, or as permitted for treatment, payment, and healthcare operations under HIPAA (see Section 7).

Mobile information is treated differently from all other categories above. Your mobile phone number, text messaging opt-in data, and messaging consent will not be shared with or sold to any third parties, affiliates, or lead generators for marketing or promotional purposes at any time. This information is disclosed only to the messaging platform, aggregators, and wireless carriers that are necessary to deliver the text messages you have requested, and only for that purpose.

4. Mobile Information and Text Messaging (SMS/MMS) Program

How you opt in

You may opt in to receive text messages from Hear For You Hearing Aid Center by checking the text messaging consent box on a form on our website, by completing a consent form in our office, or by verbally requesting text messages when speaking with our staff by phone or in person. Consent is collected directly by Hear For You Hearing Aid Center for our own messaging program only. We do not obtain messaging consent from, or transfer messaging consent to, any other business or affiliate.

What we send

Depending on the consent you provide, our text messages may include:

• Conversational and informational messages: appointment confirmations and reminders, follow-up care messages, hearing aid service and repair updates, and replies to your inquiries.
• Marketing and promotional messages (only if you have separately consented): information about hearing health, special offers, events, and new hearing technology.

• Message frequency varies based on your appointments and interactions with our practice.
• Message and data rates may apply. Contact your wireless provider with questions about your text or data plan.
• Opt out at any time by replying STOP to any message. You will receive a one-time confirmation of your unsubscribe status, after which you will receive no further texts from us unless you opt back in.

• Carriers are not liable for delayed or undelivered messages.
• Consent to receive text messages is not a condition of purchasing any goods or services from us.

5. Consent to Automated Calls

By checking the applicable consent box on our forms and providing your telephone number, you expressly consent in writing to receive calls from or on behalf of Hear For You Hearing Aid Center at the number you provide, including calls placed using an automatic telephone dialing system, automated technology, and/or an artificial or prerecorded voice. These calls may include appointment reminders, follow-up care calls, and, where you have provided marketing consent, promotional calls.

• Your consent is not a condition of purchasing any goods or services.
• You may revoke consent at any time by calling (610) 251-4327, emailing us, telling us during any call, or replying STOP to a text message.
• Standard call rates from your carrier may apply.

6. Communications Consent and Your Choices

Consent for informational communications (such as appointment reminders) and consent for marketing communications are collected separately on our forms. You may consent to one, both, or neither. Opting out of marketing communications does not affect appointment reminders or care-related communications you have consented to, and vice versa. You may update your communication preferences at any time by contacting us.

7. HIPAA and Protected Health Information

Hear For You Hearing Aid Center safeguards health information in accordance with the Health Insurance Portability and Accountability Act (HIPAA) and applicable Pennsylvania law. Our complete privacy practices regarding protected health information (PHI), including your rights to access, amend, and request an accounting of disclosures of your health records, are described in our Notice of Privacy Practices, available at our office upon request.

Health information in texts, calls, and emails

Please be aware that standard text messages, emails, and phone voicemails are not encrypted and could potentially be intercepted or viewed by others with access to your device or accounts. By opting in to receive communications from us, you acknowledge this risk and consent to receive appointment-related and care-related communications, which may reference your care at our practice, at the phone number or email address you provide. We limit the health information included in such communications to the minimum necessary. You may request that we communicate with you by alternative means or at an alternative location, and we will accommodate reasonable requests.

Uses and disclosures of PHI

We use and disclose PHI only as permitted by HIPAA, including for treatment, payment, and healthcare operations. We do not use or disclose your PHI for marketing purposes without your written authorization, and we do not sell PHI.

8. Data Security

We maintain administrative, technical, and physical safeguards designed to protect your information against unauthorized access, use, or disclosure. These include secure systems for storing patient records, access controls limiting information to staff who need it, and secure transmission of website form submissions. No method of transmission or storage is completely secure, but we work to protect your information consistent with industry standards and applicable law.

9. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this policy, to comply with our legal and professional recordkeeping obligations (including Pennsylvania requirements for patient records), and to resolve disputes. Records of your text messaging consent and opt-out requests are retained as required by applicable law. When information is no longer needed, we securely dispose of it.

Our website may use cookies and similar technologies to remember your preferences and understand how visitors use our site so we can improve it. You can set your browser to refuse cookies, though some site features may not function properly. Our website may use analytics services that collect usage data in aggregate; this data does not include the content of your form submissions.

Our website and messaging programs are not directed to children under 13, and we do not knowingly collect personal information online from children under 13. Health information for minor patients is collected from a parent or legal guardian and handled in accordance with HIPAA.
